Choosing a practice management platform

Sticker prices in the UK range from around £15 to £60 per practitioner per month, but the headline number is often misleading. Many platforms charge separately for video sessions, SMS reminders, or the client portal, so a £19/month plan can become £45+ once the essentials are added. When comparing, look at the all-in cost for what a private practice actually needs (scheduling, notes, billing, video, messaging, forms, and the client portal), not the starter tier. Therasee's Premium plan is £19/month with all of that included. No add-ons.

Four common ones worth asking about before you sign up. Video sessions, sold as a separate module or charged per minute. SMS reminders, metered per message at typically 5 to 15p each. Client portal, locked behind a higher tier even though clients need it to book and complete forms. Speech-to-text for notes, often marketed as a premium AI add-on charged on top of the base plan. It is also worth checking how much you can actually try on a free plan before paying. Some platforms offer a free tier but lock most of the day-to-day features behind an upgrade, which makes it hard to tell whether the tool fits your workflow until you have committed to paying. Honestly, no. Plenty of therapists run beautiful practices with pen, paper, and a good spreadsheet, and if that works for you, it works. What we hear from the therapists who do move across is that they had not realised how much mental load the admin was quietly carrying. Chasing no-shows, retyping client details into invoices, remembering which form belonged to which session, switching between a calendar and a video tool that do not talk to each other. No, compliance depends on the provider, not the category. Five things to verify before choosing one. Where data is physically stored (UK/EU or US). Whether the provider is registered with the ICO. Whether a Data Processing Agreement is provided as standard. Whether video and messaging are end-to-end encrypted. Whether your data is used to train AI models. Some large international platforms are technically compliant but require additional legal footwork. Therasee is ICO registered (ZB610705), hosted in UK/EU data centres, provides a DPA on signup, and operates a strict no-AI-training policy on customer data.

Legally yes, practically it adds friction. Consumer video tools were not built for clinical work, so meeting links live separately from your calendar, clients juggle apps, and session notes end up in a different system from the session itself. Professional tiers improve privacy but not integration. Therapy-specific platforms tie video directly to the appointment, so clients click once from their booking confirmation. No link, no password, no download. If you would rather keep your existing video tool, Therasee also lets you paste your own meeting link into any appointment, and still handles the booking, reminders, and notes around it.

Many practice management platforms do not distinguish between qualified and trainee practitioners, which effectively prices students out before they start seeing clients. A handful of UK-focused tools offer trainee pricing. Therasee offers dedicated discounted pricing for trainees and student counsellors in supervised placements. The full platform, at a level that makes sense before qualification.

It is worth thinking about before you sign up. A lot of the platforms in this space are designed to cover everything from physiotherapists to dentists to vets to private GPs. They work, but the workflows, the language, and the reporting are built around the lowest common denominator across all those professions. Therapy is different. Session notes, consent and intake forms, supervision records, the way a therapeutic relationship builds over time, professional body standards like BACP, UKCP, and NCPS. None of that is generic. Platforms built specifically for therapists understand all of this from the start, so you do not have to bend the tool to match how you actually work. Most practitioners are up and running in under 5 minutes. You can create your account, set your availability, and start booking clients straight away. If you need help, our team is available to walk you through it.

Yes. We offer free migration support to help you import client data, notes, and appointment history from other platforms. Our team will guide you through every step so nothing gets lost in the move.

No. Therasee runs entirely in your browser. There is nothing to download or install. Your clients access everything through their browser too, including video sessions, booking, forms, and messaging.

Yes. Therasee works as a mobile app that you can add to your home screen directly from your browser. There is no app store download needed. It looks and feels like a native app, works offline where possible, and sends push notifications. The same applies to your clients through their portal.

Pricing and Billing

When you are ready for more, simply upgrade to Premium at £19/month (or £15/month on annual billing) to lift the 3-client cap. You get unlimited clients while keeping everything you are already using. Your data carries over seamlessly.

No. Therasee Premium includes everything: scheduling, video, messaging, notes, forms, billing, and the client portal. There are no add-on fees, no per-feature charges, and no surprises on your bill.

Absolutely. You can upgrade, downgrade, or cancel your plan at any time. Changes take effect at the start of your next billing cycle. There are no contracts and no cancellation fees.

We accept all major credit and debit cards via Stripe. All pricing is in GBP.

Security and Compliance

Yes. Therasee is fully GDPR compliant. We are registered in England with the ICO (ref: ZB610705), your data is stored securely in UK/EU data centres, and we provide data processing agreements, consent management tools, and full data export capabilities.

All data is encrypted in transit and at rest. Video sessions are end-to-end encrypted. Our infrastructure runs on Microsoft Azure and Google Cloud, giving you enterprise-grade security. We run regular security audits and penetration testing.

You do. Therasee will never sell your information. We do not share your data with third parties unless it is essential for the services you have engaged with, such as processing payments through Stripe, and even then only in strict accordance with GDPR. If you decide to leave Therasee, your data will be completely erased from our systems.

Ethics are at the absolute core of everything we build. We have a strict no-logging policy with all AI features and we will never use your data to train AI models. Any AI capabilities we introduce exist for one reason only: to help you facilitate better care, never to replace human connection. AI in Therasee is about giving you time back so you can be more present with your clients, not about automating the relationship. Your data stays yours, and transparency is non-negotiable.

No. We do not capture or store video or audio from your online sessions, and we do not monitor the content of your interactions. Our platform is designed to facilitate communication without intrusion.

Only you and the practitioners you authorise within your practice. Therasee staff cannot access your client data. You have full control over user permissions and can manage exactly who sees what. We do not divulge data to government bodies unless legally mandated by a court order.

Yes. You can export all your data at any time in standard formats. Your data belongs to you, and we will never hold it hostage.

Video Sessions

Therasee includes built-in HD video sessions with end-to-end encryption, a branded waiting room, and one-click join for clients. No downloads, no meeting IDs, no passwords. Sessions are unlimited with no time caps.

Yes. If you prefer your own video platform, paste your meeting link into any appointment and clients will join from the same booking. Therasee works with whatever setup you prefer.

No. Clients click a single link from their appointment confirmation and join the session in their browser. No account creation, no app downloads, no friction.

Client Portal

The client portal is a secure, branded space where your clients can book appointments, complete and sign forms, pay invoices, message you, and access shared documents. It carries your branding and installs on their phone as a mobile app, no app store needed.

Yes. The client portal is included on all plans, including Free. Your clients get the full experience regardless of which plan you are on.

Yes. You can add your logo, practice name, and brand colours so the portal feels like an extension of your practice, not a third-party tool.

Yes. The client portal installs directly to your clients' phones as a mobile app with your practice branding. Clients simply tap 'Add to Home Screen' from their browser. It looks and works like a dedicated app for your practice, with push notifications, secure messaging, and everything they need in one place.

Features

Yes. Therasee Premium includes group video sessions for group therapy, workshops, or supervision, run directly through Therasee with the same secure HD video used for one-to-one sessions.

Therasee includes a drag-and-drop form builder with an AI assistant where you can create intake forms, consent forms, assessments, and outcome measures. Forms support e-signatures, automatic reminders before appointments, and clients complete them directly in the portal.

Yes. You can upload a PDF, Word document, or even a photo of a paper form and the AI assistant will convert it into a digital, fillable form automatically. It recognises field types, preserves the structure, and creates a form you can edit, send to clients, and collect e-signatures on. If you already have intake forms, consent documents, or assessments that you use on paper, you do not need to rebuild them from scratch.

Yes. Therasee supports multiple practitioners under one practice. Each practitioner gets their own calendar, notes, and client list, while you maintain oversight of the whole practice.

Yes. Speech-to-text is included on all plans for session notes and messages. You can also use it when composing messages to clients. After every video session, you are automatically prompted to add notes so nothing gets forgotten.

Yes. Therasee sends automated SMS and email reminders to clients before their appointments, helping reduce no-shows. You can customise the timing and content of reminders to suit your practice.

In the six months to April 2026, less than 1.2% of all sessions booked through Therasee were no-shows. Published research puts the average no-show rate for mental health appointments at 15 to 20%, which means Therasee practitioners are seeing rates roughly 10 to 15 times lower than the industry baseline. That works out to a reduction of up to 90%. Automated reminders go out by SMS, email, and as in-app notifications through the branded client portal. Self-service booking, easy rescheduling, and customisable cancellation windows all contribute too.
